ESG & SUSTAINABILITY

Hotel energy efficiency: automation and sustainable housekeeping

The best action fits the building, guests and team. Start with a controlled pilot, measure the effect and expand only after the process works reliably.

Heating and cooling: operating states, not just fixed times

Define at least vacancy, preparation, occupancy and cleaning states for each unit. Agree safe limits, lead times and local override options with the building specialist. A booked room is not necessarily physically occupied every minute. Equally, a delayed booking update must not leave a guest without appropriate comfort. The PMS supplies booking context; suitable sensors and building controls complement it on site.

Heating and cooling should not work against each other. Check controls, open-window behaviour and the room’s actual response. Do not indiscriminately switch off safety systems, necessary ventilation or building-protection functions. A universal temperature for every property would be inappropriate. my-bookings documents Netatmo for supported heating routines; Loxone can include further installed functions. A specific cooling connection requires a separate compatibility check.

Digital access: count only journeys genuinely avoided

The TTLock integration connects bookings with assigned doors and supports automatic code creation and delivery. Across scattered apartments, this may remove a journey made solely to hand over keys. If the same trip is still needed for cleaning, maintenance or guest care, it cannot also be counted as avoided. Record the purpose, distance and actual workflow change.

Test the entire arrival route: main door, secondary entrance, correct unit, validity period and understandable message. Include changed stays, cancellations and equipment failures. Define an available contact and independent emergency access. Benefits appear only when guests can enter reliably and staff can handle exceptions. Digital access does not replace a welcoming arrival.

Sustainable housekeeping without hidden quality loss

Align cleaning and laundry with the stay, guest choices and hygiene requirements. An optional skipped interim clean should be explained clearly and must not become a barrier when a guest later needs assistance. Record the agreed service so reception and housekeeping use the same information. Compare laundry weight and cleaning effort per stay, not merely the purchasing cost of detergent.

Cleaning lists and PromaApp support tasks and status updates in the booking context. They do not replace hygiene planning or quality checks. Discuss realistic time allowances, manufacturer-specified dosage and safe product use. Lower consumption is an improvement only when cleanliness, safety and working conditions are maintained. Skipping cleaning alone does not demonstrate an overall environmental benefit.

Materials and maintenance: organise before adding technology

For frequently used materials, establish minimum stocks, an owner and a simple ordering schedule. Check what is already available before ordering more. Comparable products and clearly organised storage reduce searching and mistaken purchases. Assess cleaning, handling and hygiene when considering reusable or refillable options. A low purchase price says little about total consumption or service life.

Keep a simple asset list with location, contact, maintenance date and recorded faults. Repeated comfort complaints, unusual consumption or damaged seals justify specialist inspection. Preventive maintenance supports reliability; no universal service-life extension can be promised. Stock control, automatic reordering and predictive maintenance diagnostics are described here as operational measures, not verified my-bookings modules.

Configure digital documents and registration thoughtfully

Reuse booking details in invoice workflows and configure digital delivery in the agreed process. Assist guests who need help and avoid automatically printing an additional copy of every digital document. Test the invoice trigger, email delivery and exceptions before launch. Avoiding paper is one action; it does not make the entire stay climate-neutral.

The digital guest sheet supports advance data entry and identifying missing details. A Vienna workflow is documented; other regions and connections such as Feratel are assessed for the location. Agree who checks incomplete registrations, assists guests and handles exceptions. Completed advance registration can support reception without creating an incomprehensible barrier before arrival.

Your 90-day action plan

  1. DAYS 01–30

    Measure & understand

Collect meter data, room-nights and baselines. Ask the team. Define three goals, owners and deadlines.

  2. DAYS 31–60

    Start small

Test heating rules in a few rooms. Organise linen preferences and digital invoices. Monitor comfort and workload.

  3. DAYS 61–90

    Review & improve

Compare the same boundaries and account for weather and occupancy. Review staff and guest feedback. Communicate only supported results.

Sustainability starts with the right workflows.
